Feesbus Travel Consultants – Terms & Conditions (South Africa)

 

1. Introduction

These Terms & Conditions govern all travel bookings made through Feesbus Travel Consultants (“the Agency”). By requesting a quotation, making a booking, or making payment, you (“the Client”) acknowledge that you have read, understood, and agreed to these Terms & Conditions.

2. Role of Feesbus Travel Consultants

Feesbus Travel Consultants acts as an intermediary between the Client and third‑party suppliers, including airlines, hotels, tour operators, transport providers, and other service providers.

  • All bookings are subject to the terms and conditions of the relevant supplier.

  • The Agency does not control or manage supplier operations and is not liable for any acts, omissions, delays, or failures by suppliers.

  • In accordance with the Consumer Protection Act (CPA), the Agency will disclose supplier information and assist the Client in understanding supplier policies.

3. Prices, Quotes & Payment

  • All prices are quoted in South African Rand (ZAR) unless otherwise stated.

  • Quotes are subject to availability and may change due to exchange rate fluctuations, tax adjustments, or supplier pricing changes.

  • A deposit or full payment may be required to secure a booking.

  • Bookings are only confirmed once payment reflects in the Agency’s account.

  • Failure to make payment by the due date may result in cancellation, subject to supplier penalties.

3.1 Service Fees

Feesbus Travel Consultants may charge:

  • Consultation fees

  • Booking and ticketing fees

  • Amendment fees

  • Cancellation administration fees

These fees are non‑refundable, in line with industry practice.

4. Booking Confirmation

Upon payment, the Agency will issue booking confirmations and travel documents. The Client must:

  • Check all details immediately

  • Report any errors within 24 hours

The Agency is not responsible for errors reported after this period.

5. Cancellations, Changes & Refunds

5.1 Client‑Initiated Cancellations

  • Cancellation penalties are determined by suppliers and may be 100% non‑refundable.

  • The Agency may charge an additional administrative cancellation fee.

  • Refunds (if applicable) may take 8–12 weeks, depending on supplier processing times.

5.2 Changes to Bookings

  • Amendments may incur supplier fees and Agency administration fees.

  • All changes are subject to availability and supplier approval.

5.3 Supplier‑Initiated Changes

If suppliers make changes (e.g., schedule changes, cancellations), the Agency will notify the Client and assist with alternatives or refunds as per supplier policy.

6. Travel Documents & Requirements

The Client is responsible for ensuring they have:

  • A valid passport (minimum 6 months validity)

  • Required visas

  • Vaccinations or health certificates

  • Travel insurance

  • Compliance with entry, transit, and exit requirements

Feesbus Travel Consultants is not liable for denied boarding or entry due to incomplete documentation.

7. Travel Insurance

Travel insurance is strongly recommended. The Agency may offer insurance options but is not responsible for:

  • Uninsured losses

  • Policy exclusions

  • Claims rejected by insurers

8. Liability

In accordance with South African law, Feesbus Travel Consultants is not liable for:

  • Personal injury, illness, death, or property damage

  • Delays, cancellations, or missed connections

  • Acts of nature, strikes, political unrest, or force majeure events

  • Supplier insolvency or operational failure

  • Losses arising from circumstances beyond the Agency’s control

The Client’s remedy lies with the relevant supplier.

9. Client Responsibilities

The Client agrees to:

  • Provide accurate personal information

  • Comply with supplier rules and regulations

  • Behave responsibly during travel

  • Pay all outstanding amounts on time

  • Review travel documents upon receipt

10. Privacy & POPIA Compliance

Feesbus Travel Consultants complies with the Protection of Personal Information Act (POPIA).

  • Personal information is collected only for booking and travel arrangements.

  • Information is shared with suppliers strictly as required.

  • Data is stored securely and will not be sold or shared for marketing without consent.

  • Clients may request access, correction, or deletion of their personal information.

11. Special Requests

Special requests (e.g., dietary needs, room preferences) will be communicated to suppliers but cannot be guaranteed.

12. Force Majeure

The Agency is not responsible for failure to perform obligations due to events outside its control, including:

  • Natural disasters

  • Pandemics

  • War or civil unrest

  • Government restrictions

  • Supplier operational disruptions

13. Governing Law

These Terms & Conditions are governed by the laws of the Republic of South Africa. Any disputes will be resolved in the courts of South Africa, specifically within the jurisdiction where Feesbus Travel Consultants operates.

14. Acceptance of Terms

By making a booking or payment, the Client confirms that they have read, understood, and agreed to these Terms & Conditions.
